How it works

From lead list to letterbox, in eight steps.

Upload the list you have. Agents find and verify each business address, help with the letter and track the scans. You approve anything that costs money or prints.

Step 01 · You

Upload the list you already have.

Drop in a CSV or an export from Clay, HubSpot, Salesforce, Apollo or Sales Navigator. The importer detects your columns and saves the list in Leads for later campaigns.

  • A work email per contact is enough to start
  • Lists that already have addresses skip research

Step 02 · Scout, research

Scout finds each business address.

Scout checks where the company publicly says it is (its website, LinkedIn company page, listings and state filings) and picks the office closest to the contact's city, or headquarters.

  • Source links and quoted text behind each address
  • Business addresses only, never home addresses

Step 03 · Proof, verify

Proof checks each address with USPS.

Found or uploaded, each address goes through USPS CASS. A missing suite, a vacant building or an unconfirmed address is held with the reason, and you decide what happens to it.

Step 04 · Quill, write

Design the letter. Quill can help with the copy.

Arrange text, handwritten-style notes, a photo, your logo and a tracked QR code on a drag-and-drop page and write the copy yourself. On a fixed template, Quill drafts copy from a short brief and you choose what to apply.

  • Merge fields from any column in your list
  • Anyone missing a printed contact field is held, so "Dear ," never prints

Dear Dana,
Congrats on the new role at Ledgerline. I wanted to send something you'd read.

Step 05 · Gate, approve

Approve real print proofs.

Gate renders three to five proofs through the print pipeline, sampled for edge cases like the longest name. Change anything after approving and you approve again.

Step 06 · Gate, approve

Pay the quote and pick a date.

Your card is charged the exact quoted total, with print and postage included. Pick a send date at least 24 hours out, and withdraw or move the drop until it prints.

Step 07 · Mailyard

We print, fold, stuff and mail.

Letters print in black-and-white or color, tri-folded into a windowed #10 envelope and mailed USPS First-Class. During the beta, our team reviews each drop before it prints.

Step 08 · Echo, track

Echo tracks each letter and scan.

Each letter moves from Printing to Delivered (inferred from USPS scans), or Returned. Its QR code opens your landing page with the contact's ID and logs the scan in Mail Analytics.

Questions about the process

More in the full FAQ →

How long does a direct mail campaign take with Mailyard?

Setup fits in one sitting. The drop is scheduled at least 24 hours ahead, and delivery time depends on the USPS mail class.

Do I need mailing addresses to start?

No. A work email, a LinkedIn profile URL, or a name with a company is enough. Addresses you already have skip research. See address finding.

What do I approve before anything prints?

Three to five production print proofs, sampled for edge cases. Editing anything resets the approval. See approvals.

Can Mailyard mail new leads as they arrive?

Yes. An always-on campaign mails each lead from a Clay column or the API, funded from a prepaid balance. See Clay.

Your next touchpoint fits in an envelope.

Upload a list and see how many addresses we can verify before you spend anything on postage.

Let's see if Mailyard fits.
