When to run it

The people who said "not now" already know your name.

A closed-lost buyer has seen the demo and made a call. When something has changed since, a short letter that says so is a natural reason to write again.

Run it when

  • You shipped something a lost buyer asked for
  • Their first choice may be coming up for renewal
  • A rep can own each follow-up

Skip it if

  • Nothing has changed since they said no
  • They rejected the whole category
  • You can't name what's different in one sentence

The list you need

One CRM report, plus one column you write.

Export the contacts on closed-lost deals, keep the record ID, and add a line per deal on what changed.

Columns

  • Work email or LinkedIn URLRequired

    One per contact.

  • Company and cityHelps

Scout picks the company office closest to the contact.

  • Record IDHelps

Kept as the Contact ID, so a scan ties back to the deal.

  • WhatChangedOptional

Your line on what's different now, merged into the letter.

  • Lost reasonOptional

Split the list and write one letter per reason.

Fictional rows. A record ID column becomes the Contact ID.

Export it from

HubSpot

A deals report filtered to Closed lost, with associated contacts and the Record ID.

Salesforce

An Opportunities with Contact Roles report filtered to Closed Lost.

Tip. Add current customers and open deals to the suppression list before you upload. Nobody on it is mailed.

The letter

Say why it didn't work. Then say what changed.

Buyers remember why they passed. Name it, give one reason to look again, and write one version per lost reason.

  1. 01
    Name the gap

Admit it wasn't the right fit last time.

  2. 02
    What changed

One line per deal, from the WhatChanged column.

  3. 03
    A small next step

A short tour behind the QR code, or the rep's direct line.

Hi Nora,

Last spring you looked at Halyard for payroll at Oakridge Dental Group and passed. Fair call.

One thing has changed: we now run payroll for every state you hire in, from one approval each pay period.

If it's worth a second look, the code below opens a two-minute tour. Or call me at (555) 014-2290.

Best,

Jonah Pike

The follow-up

The rep who lost the deal reopens it.

Before the drop, give each rep their contacts and the WhatChanged line for each.

What to measure

The number that matters is reopened deals.

Scans show who looked again. Your CRM shows who came back. Join them on the Contact ID.

Mail Analytics

Who scanned

People who looked again. Link scanners and proof scans are filtered out.

Mail Analytics

Returned letters

Often a sign the person left. Update the CRM record.

Your CRM

Reopened deals

Meetings and reopened opportunities, compared by lost reason.

We don't publish benchmark response rates. Your first drop is your baseline.

Run it in Mailyard

The play, step by step.

  1. Upload and find offices

Scout finds where each company publicly says it is, with sources.

  2. Verify with USPS

Proof checks each address with CASS and holds what won't deliver, with the reason.

  3. Write one letter per lost reason

Write it yourself, or have Quill draft it on the Personal note template.

  4. Approve and schedule

Approve the print proofs, pay the quote and pick a date at least 24 hours out.

  5. Follow up from Mail Analytics

Give reps the scans CSV or a view-only link.

Questions

More in the full FAQ →

When should you re-engage a closed-lost deal?

When something has changed that answers why they said no, such as a feature they asked for, a new price or a renewal on their side. Without a new reason, a letter only reminds them you lost.

What should a closed-lost re-engagement letter say?

Acknowledge it wasn't the right fit, name the one thing that's different now, and offer a small next step. Put the deal-specific line in its own column so it merges in.

How do I export closed-lost contacts from HubSpot or Salesforce?

Export a closed-lost deals report (HubSpot) or an Opportunities with Contact Roles report (Salesforce) as CSV, and keep the record ID column so it becomes the Contact ID. There's no native CRM sync yet; see HubSpot and CRMs.

What if my contact has left the company?

Mailyard mails the company on your list and doesn't track job changes, so the letter may come back, and returns show in Mail Analytics. If you know where they went, run the champions in new roles play.

Your closed-lost list is one report away.

Upload it and see how many contacts we can still find and verify before you pay for postage.
